How do you get access to our patient data? +
You export a spreadsheet from your existing practice management system — Dentrix, Eaglesoft, Open Dental, or similar. We only need basic information: names, contact details, last visit date, and treatment notes if relevant. You share it with us directly and securely.
Is this HIPAA compliant? +
Yes. We only contact patients who have already consented to communication from your practice — which they agreed to when they signed your intake forms. All data is handled securely and we operate under a Business Associate Agreement (BAA). We never share patient data with third parties.
How long does it take to get started? +
Most practices are live within one week. Once you sign up, we schedule a quick onboarding call, you send us your patient export, and we build the campaign. You approve it, and we launch. Simple.
What practice management systems do you work with? +
We work with any system that allows a CSV or spreadsheet export — which includes Dentrix, Eaglesoft, Open Dental, Curve Dental, Carestream, and most others. If you can export a patient list, we can work with it.
Do we need to install any software? +
No. There is nothing to install. We handle everything on our end. You just send us the patient file, approve the campaign, and we take it from there.
What does the outreach actually look like? +
Each message is personalised to the individual patient — their name, when they last visited, and what treatment they may have pending. Messages come from your practice, not from us. Patients never see our name. It feels like a personal note from your team.
What if a patient doesn't want to be contacted? +
Every message includes a simple opt-out option. If a patient replies STOP or asks to be removed, we remove them immediately and flag it in your report. We only reach out to patients who have consented to communication from your practice.
Are there any contracts or long-term commitments? +
No contracts. All plans are month-to-month and can be cancelled any time. We'd rather earn your business every month than lock you in.
What results can we expect? +
Results vary depending on list size, patient segment, and practice type. In our pilots, practices have typically recovered 10–20 patients per campaign. Even recovering 2–3 patients with pending treatment plans can pay for several months of the service.
